Job Description:
The Human Resources Coordinator provides specialized administrative support in managing the university’s debt recovery claims through the Office of Debt Recovery (ODR). The position is also responsible for processing student employment transactions via JobX, maintaining personnel files, and overseeing front desk operations. In addition, the Coordinator collaborates closely with the HR Generalists, offering comprehensive support across all areas of Human Resources as needed.
Essential Functions
Student Employment (JobX):
- Reviews and approves student employment actions in JobX, verifying that candidates meet eligibility requirements and that all required pre-hire documentation and steps are completed.
- Evaluates and processes requests for user access to the JobX system, ensuring appropriate authorization levels.
- Reviews and resolves system error reports related to Electronic Personnel Action Forms (EPAFs), timesheets, and payroll processing to maintain data accuracy and compliance.
Front Desk Operations:
- Serves as the first point of contact for employees, students, and visitors, providing professional, courteous, and knowledgeable assistance.
- Answers and directs phone calls, emails, and in-person inquiries to the appropriate HR staff or department.
- Greets and assists visitors while ensuring adherence to office security and confidentiality procedures.
- Receives, logs, and routes incoming correspondence, forms, and employment documents for processing.
- Maintains the front desk schedule, monitors office traffic, and ensures coverage during business hours.
- Provides general information related to HR procedures, employment opportunities, and payroll/benefits processes within established guidelines.
- Maintains a clean, organized, and welcoming front office environment that reflects the professionalism of the Human Resources Department.
- Assists with scheduling interviews, meetings, and orientations as requested.
- Protects sensitive employee information and upholds confidentiality in all front desk interactions.
Debt Recovery:
- Contacts employees to establish and coordinate payment plans for outstanding debts in accordance with University and Office of Debt Recovery (ODR) procedures.
- Maintains detailed documentation of all communications and payment arrangements with employees to ensure accurate recordkeeping and compliance.
- Refers delinquent accounts to the Office of Debt Recovery when payments are not received according to the agreed-upon schedule.
File Maintenance:
- Organizes and maintains the filing system for employee personnel records, ensuring accuracy, confidentiality, and accessibility.
- Retrieves and compiles data from files or staff to support inquiries, reports, and other HR-related requests.
- Assists with internal and external audits by locating, preparing, and providing requested documentation in a timely manner.
- Oversees the full lifecycle of employee personnel records—from creation and active maintenance to archiving and disposal—in accordance with established record retention schedules and compliance requirements.
Data, Metrics & Continuous Improvement
- Contribute to process updates and knowledge resources (guides, templates, FAQs).
Emergency& Security Essential
- Designated as an Emergency Essential position, requiring the employee to report to work and/or remain on duty during emergency situations, natural disasters, inclement weather, or other events when normal campus operations are suspended. This includes performing critical duties necessary for the protection of students, employees, property, and the continuity of essential university services.
- Designated as a Security Sensitive position, involving access to confidential, financial, personnel, student, or safety-related information that, if misused, could compromise the security of individuals, data, or University resources.
- Employment is contingent upon successful completion of background checks, which may include criminal history, credit, and other security-related screenings.
- Employee is required to maintain confidentiality and comply with all applicable University, State, and Federal security policies.

Required Education and Experience
- 4 years HR, Payroll or related administrative functions.
- Strong analytical, organizational, and problem-solving skills
Preferred Education and Experience
- Bachelor’s degree in related field.
- Ellucian Banner experience.

Work Environment
- Occasional evening/weekend work for urgent matters.

Physical Requirements
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 10 pounds at times.
- Ability to use a keyboard.
- Ability to communicate verbally and in writing.
