JOB DESCRIPTION:

The Executive Administrator is responsible for providing centralized administrative oversight, coordination, and operational management for eleven (11) federally funded grant programs. The position ensures consistent administrative practices, regulatory compliance, and effective coordination of personnel, resources, and services across multiple grants. This position functions as a shared executive administrative role, supporting program directors and administrative staff through structured oversight, operational guidance, and cross-grant coordination to promote efficiency, accountability, and institutional alignment. The position is allocated at 9.09% effort across each of the eleven (11) grants.

 

JOB RESPONSIBILITIES:

  • Grant Oversight & Program Coordination: Provides centralized administrative oversight for eleven (11) grant-funded programs; coordinates cross-grant operations to ensure alignment with grant objectives, institutional policies, and administrative standards; supports program directors with operational guidance.
  • Administrative Operations & Systems Management: Develops, implements, and monitors standardized administrative procedures and workflows; supports staffing coordination and organizational planning; addresses operational issues and recommends process improvements.
  • Compliance & Monitoring: Supports compliance with federal, state, and institutional regulations; monitors administrative documentation and internal controls; assists with audit preparation, monitoring reviews, evaluations, and continuation submissions.
  • Resource Coordination & Service Alignment: Coordinates shared administrative, academic, and support services; aligns grant resources to promote efficient service delivery and equitable participant support; identifies opportunities for cost savings and operational efficiencies.
  • Strategic & Institutional Support: Provides administrative support for planning, reporting, and sustainability efforts; supports leadership with data-informed operational analysis and recommendations.

Other Duties:

Performs other duties as assigned by the Executive Director for Pre-College and Outreach Programs.

 

QUALIFICATIONS:

  • Earned a master's degree from an accredited institution in Education, Counseling, Social Work, Higher Education Administration, an appropriate STEM Field, or other related fields
  • Five (5) or more years of experience
  • Specific experience: Direct work with TRIO programs, grant oversight, Supervisory experience of 5 or more staff. Familiarity with TRIO Grant Regulations
