JOB DESCRIPTION:

The Operational Processes and Document Management Specialist will act as a senior administrative and operational professional providing high-level support to the Associate Comptroller of Sponsored Programs Accounting, Policy Development and Compliance. This position is responsible for coordinating complex administrative operations, analyzing and improving institutional processes, managing financial and documentation systems, and ensuring compliance with regulatory and organizational requirements. The role requires the consistent exercise of discretion, independent judgment, and advanced knowledge of financial, grants, and administrative procedures.

JOB RESPONSIBILITIES:

  • Serve as a primary liaison on behalf of the Associate Comptroller with internal departments, external agencies, vendors, and stakeholders.
  • Represent the Associate Comptroller in designated matters, including providing informed input and exercising delegated signature authority when appropriate. 
  • Compile and analyze financial, budgetary, and operational data to support reporting and strategic decision-making.
  • Create, revise, and implement procedures, forms, and documentation standards aligned with institutional and grant requirements.
  • Monitor and maintain records within enterprise systems (e.g., financial, budgeting, and grant platforms) to ensure data integrity and timely updates.
  • Track and coordinate incoming and outgoing grants and contracts documentation and ensure appropriate routing and completion.
  • Review and process budget transactions, modifications, and position funding entries within institutional systems.
  • Assist in advancing modernization initiatives related to post-award financial operations and grant management practices.
  • Independently compose correspondence and reports involving routine, confidential, complex, and non-routine matters.
  • Track attendance and maintain related personnel documentation for departmental staff.
  • Provide guidance and task oversight to temporary staff (typically 1–3 individuals) as assigned

SPECIFIC QUALIFICATIONS:

  • GED / High School Diploma
  • Minimum of five (5) years of relevant experience.
