Data Control/Transcript Supervisor
This position is located at the Office of Registrar.
Job Description:
Responsible for processing and delivery of all transcripts and verification requests received by the Registrar's office. Also recreates transcripts from microfiche for former students as required. Process all transcript request received electronically. Researches archived records on student information system to produce official transcript. May include posting graduation and academic status. Determines eligibility for release of transcript bases on students account and FERP A restrictions. Communicates ineligibility issues with students and or campus process, and deliver transcripts daily, both electronic and paper transcripts, utilizing the script safe system. Must maintain a pending file for incomplete request and follow up in a timely fashion, utilizing Script Safe reporting functionality. Extensive telephone and email with students and campuses requiring assistance with transcripts and records requests. Personal and telephone contact with investigators seeking student’s educational records. Releases student information in accordance with University policy and federal restrictions, FERPA. Coordinates with National Clearing House to have student records updated with credit and graduation data for release.
Minimal Qualifications:
High school diploma or (GED) required with experience working in a higher education institution; keyboard skills with ability to produce and maintain accurate records professional quality material; demonstrate background in assuming responsibility, initiative, and working under pressure in a fast-paced environment; demonstrates effective verbal and written communication skills including spelling, punctuation and ability to operate standard office machines and software packages. Must be willing to work flexible schedule (occasional evening and Saturday work is required) Ability to follow procedures and quickly learn new ones, paying attention to details; demonstrates success of teamwork skills.
