Associate Comptroller for Special Projects

Job Description:

Provide administrative and managerial support to the Associate Vice Chancellor for Financial Operations.

Primary responsibility is to perform all special projects, to include any outstanding tasks within the Vice Chancellor for Finance and Administration Department to include the Comptroller’s Office. This position does not directly supervise any staff but can indirectly supervise staff to assist in getting tasks completed timely.

Maintain ongoing contact and working relationships with Baton Rouge Campus staff, state agency representatives, community groups and constituents, other Southern University System campuses, internal auditors, and external auditors.

Responsible for planning, implementation, and completion of Department projects and/or tasks as assigned.

Required to meet with Comptroller’s Office staff as needed as part of work responsibilities.

Work Activities: Activities include, but not limited to, the following:

  1. Provides administrative and managerial support to the Vice Chancellor for Finance and Administration and the Associate Vice Chancellor for Financial Operations.
  2. Provide support to all divisions managed by the Associate Vice Chancellor for Financial Operations to include, but not limited to, organizing meetings, leading work teams, tracking the outstanding tasks within each division and addressing the issues that are creating the outstanding tasks, developing meeting agendas and responding to the needs of Baton Rouge Campus staff as related to moving the Finance Department forward. Ensure compliance with the fiscal closing calendar deadlines and when necessary, provide staff with assistance.
  3. Implements and completes a variety of special projects as assigned by the Associate Vice Chancellor for Financial Operations. This position will perform various other duties, to include but not limited to, the following:
  • Prepare any reconciliations and monthly reports as needed
  • Assist with the Annual Financial Statements and Notes
  • Assist with Preparation of the SEFA
  • Assist with all Security related to the ERP Banner system
  • Work as back-up to Comptroller’s Office staff
  • Assist with writing policies and procedures for tasks
  • Attend and monitor meetings on behalf of the Associate Vice Chancellor for Financial Operations
  • Provide comprehensive support services such as training and assist with maintaining filing system
  1. Prepare Surveys, Reconciliations, and other Specialized Reports on an as needed basis.
  2. Provides support and assistance to Divisions as needed for any task within the Comptroller’s Office.
  3. Performs other duties as assigned by the Associate Vice Chancellor for Financial Operations and/or designee.

Knowledge and Skills:

  • Must be knowledgeable about the ERP System Banner.
  • Skilled at working with diverse groups of community members, constituents, and state agency staff members
  • Excellent oral and written communication skills
  • Skilled at organizing work tasks, meeting deadlines, and producing accurate and complete work products.
  • Ability to work independently, exercise decision-making skills, self-directed and motivated
  • Computer software experience including Word, Excel (Pivot Tables), Access, PowerPoint, and Outlook applications
  • Flexibility to support a variety of Division projects/tasks to ensure the timely completion to include fiscal year end tasks and end of the month tasks
  • Working knowledge of tasks to assist in meeting fiscal year end closing deadlines
  • Capacity to work independently as well as part of a team to accomplish common goals
  • Excellent organizational abilities and a cheerful outlook
  • Educational background – Accounting Degree required

Minimal Qualifications:

  • Bachelor's degree; at least 3-5 years of experience related to the duties and responsibilities specified.
  • 3-5 years of experience working in a university environment and/or at a State Agency preferred, but not required.
  • 3-5 years of experience working in Finance and/or Accounting Field preferred, but not required, with a working knowledge of reconciliations.
  • Experience with ERP Accounting System preferred; but not required.
  • Excellent computer skills; must be proficient in Excel
  • Ability to multi-task, work under pressure, prioritize, and meet deadlines
