Executive Clerical Assistant
JOB DESCRIPTION:
Provide high-level administrative support for SU Title IV-E Project by leading and accomplishing critical tasks documenting and compiling project data, collecting assessments, conducting administrative quality checks and recording results, provide project coverage and maintain organized communications which includes: 1) providing operational and clerical support to project staff which is not limited to answering phone calls, directing messages, and managing email correspondence; 2) calendar management to include scheduling meetings, appointments, and travel arrangements; 3) preparing documents to include creating and editing letters, memos, reports, presentations and other documents; 4) meeting coordination to include setting up meeting rooms, preparing agendas, taking minutes, and distributing meeting materials before and after meetings; 5) office administration which covers ordering office supplies, managing inventory, and maintaining/contacting repairmen for equipment; 6) inputting data into spreadsheets and databases; 7) making travel arrangements to include booking travel tickets, rentals, lodging, per diem, etc. and preparing and processing travel documents; 8) assist with project management tasks, tracking deadlines, and coordinating team efforts; 9) serve as standardized client, taking on different roles and responding verbally in mock child welfare simulation interviews. Perform other duties as assigned by the Director of Training/Title IV-E Coordinator.
COMPETENCIES
Proficient in Microsoft Office programs (to include Excel, Word, and PowerPoint), Zoom, and Teams. Note: must be highly proficient in Excel.
MINIMAL QUALIFICATIONS:
Bachelor’s Degree minimum. Master’s Degree preferred.
ADDITIONAL ELIGIBILITY QUALIFICATIONS:
Previous experience in a professional office setting. In addition, the employee is expected to perform duties and activities as assigned to meet the goals and objectives of the Southern University Social Work Department’s Title IV-E Program in collaboration with the Department of Children and Family Services. The applicant must be flexible, function independently, and be open to performing additional duties and tasks as needed within the scope of the Title IV-E Program.
