JOB DESCRIPTION:

The Program Operations Specialist plans, implements, and supports academic units in the College of Sciences and Engineering through a wide range of operational and administrative tasks. Key responsibilities include managing administrative processes, coordinating events and activities, maintaining program-related documents and records, and serving as a liaison between stakeholders such as faculty, students, and other university departments. The position also involves monitoring data, ensuring compliance with institutional and external regulations, and supporting continuous improvement in operational efficiency and program delivery.

 

ESSENTIAL DUTIES & RESPONSIBILITIES:

Program Administration and Coordination

  • Manages day-to-day administrative operations for assigned academic programs, including scheduling meetings, preparing materials, managing correspondence, and maintaining records.
  •  Supports faculty and staff in implementing academic and student success initiatives.

 Budget and Resource Support

  • Assists with budget tracking, procurement, and expense reconciliation.
  • Coordinates purchasing and maintains records of expenditures and reimbursements.

 Data Management & Reporting

  • Collects, tracks, and analyzes program data including enrollment, retention, budgets, and other performance metrics.
  • Prepares reports for program leadership and supports data-driven decision-making.

 Communication and Liaison Functions

  • Serves as a primary point of contact between the program, college, and university offices.
  • Communicates clearly and professionally with faculty, students, external partners, and other stakeholders.
  • Maintains up-to-date program information in print and online formats.

 Process Improvement and Compliance

  • Assists in developing and refining operational procedures to improve efficiency and accuracy.
  • Ensures compliance with university policies, accreditation standards, and relevant external regulations.
  • Supports audits and accreditation reviews as needed.

 Event and Activity Coordination

  • Plans and coordinates events in collaboration with the college, such as orientations, workshops, recruitment activities, advisory board meetings, and special projects.
  • Ensures logistical details—including space reservations, catering, communications, and post-event evaluations—are handled efficiently.

 

MINIMUM QUALIFICATIONS:

  • Education: A Bachelor’s degree in business administration, education, communications, or a related field required.
  • Experience: Minimum of three (3) years of progressively responsible administrative or program coordination experience in a higher education, nonprofit, or related setting.

 

PREFERRED QUALIFICATIONS:

  • Experience in academic program administration or student services.
  • Familiarity with university systems (e.g., Banner, Workday, PeopleSoft, or similar).
  • Experience supporting events, reporting, and process improvement initiatives.
  • Demonstrate interest in learning and adopting new AI tools to increase productivity.
