Job Description:

The Program Coordinator will serve as the primary staff lead for business and administrative functions, including initiating and tracking purchases and service requests, preparing and maintaining procurement documentation, monitoring routine expenditures against approved budgets, reconciling transactions as required, maintaining organized financial and operational records, and supporting timely internal and external reporting. The position will also provide grant administration and reporting support for the associated HBCU Title III Part B activity, including maintaining grant files and documentation, tracking activity deliverables and timelines, coordinating required data collection, and compiling routine progress and performance reports in accordance with sponsor and university requirements. In addition, the position supports student-facing operations through communications, event and site-visit logistics, and documentation.

The Program Coordinator will also assume operational responsibilities historically associated with lab/field activity coordination—specifically laboratory scheduling and access coordination, equipment and inventory tracking, support for safety documentation, and routine tracking/reporting of lab usage and student participation. This position is necessary to maintain continuity of student-facing operations, keep instructional labs ready and compliant with safety expectations, and ensure the department’s procurement, purchasing, grant support, and budget-workflow functions are executed accurately, consistently, and in accordance with university and sponsor procedures.

Job Duties: 

  • Provides day-to-day coordination of department business operations to ensure timely purchasing, payments, and financial recordkeeping. Initiates and tracks requisitions, purchase orders, quotes, and service requests; maintains complete procurement files; and coordinates with university business offices to resolve vendor, receiving, and invoice issues. Supports project accounting by monitoring routine expenditures against approved budgets, maintaining spending trackers, reconciling transactions as required, documenting cost activity, and preparing summaries to support leadership decision-making and compliance.
  • Provides administrative support for the associated HBCU Title III Part B activity, ensuring documentation, timelines, and reporting requirements are met. Maintains organized grant files (purchases, approvals, deliverables, communications), tracks activity milestones and performance indicators, coordinates routine data collection, and compiles draft progress/performance reports for review and submission through the appropriate university channels. Coordinates with internal stakeholders to ensure expenditures and activities align with approved objectives and allowable-use expectations.
  • Coordinates operational workflows that keep the Construction Management program functioning smoothly, including calendars, deadlines, meeting logistics, scheduling, and correspondence management. Maintains program records, standard operating documents, and routine trackers (student participation, events, lab usage, and other operational metrics as assigned). Supports internal coordination across department stakeholders to ensure follow-through on tasks, documentation, and operational continuity.
  • Supports day-to-day coordination of lab/field operations not assigned elsewhere, including lab schedules and access coordination, equipment/material inventory tracking, and basic readiness coordination. Supports safety documentation and routine lab usage reporting, and coordinates maintenance/repair needs through established university processes.
  • Coordinates logistics for student-facing activities, including events, workshops, guest speakers, employer engagement, and site/industry tours. Manages student communications (announcements, reminders, participation confirmations), supports student organization activity logistics, and maintains documentation of participation and outcomes for internal reporting purposes.

 

Minimum Qualifications: 

Education Level: B.S in Civil Engineering, Construction Management, or a related 4-year ACCE-accredited Construction degree

Years of Experience: 15+ years of experience

Specific Experience: 5+ years in project design, 10+ years in business operations and management
