JOB DESCRIPTION:
This position is designated as an in-person position and requires regular physical presence on campus to support the operational needs of the Southern University System Office for Compliance and the SUBR Office for Compliance. The employee is expected to report to the assigned work location during normal business hours and attend in-person meetings, trainings, testing sessions, and System events as required.
The Office Coordinator provides administrative, operational, and technical support to the Southern University System Office for Compliance and the Southern University and A&M College (SUBR) Office for Compliance. This position supports the System Director for Compliance, the Associate Vice Chancellor for Compliance, and System and SUBR Offices for Compliance personnel in carrying out institutional compliance functions, including disability services support, case management administration, records management, and office operations. The Office Coordinator serves as a primary point of contact for students, faculty, staff, and external stakeholders and must maintain professionalism, confidentiality, and sensitivity while fostering positive working relationships across the Southern University System. The Office Coordinator works cooperatively as a member of the System Office for Compliance and SUBR Office for Compliance staff under the supervision of the System Director for Compliance/Associate Vice Chancellor for Compliance. The essential functions of this position include direct interaction with students, faculty, staff, and visitors; coordination of office operations; administration of testing accommodations; management of physical records; and on-site administrative support; regular on-campus attendance is considered an essential function of the position.
JOB RESPONSIBILITIES:
Administrative and Operational Support:
- Provide administrative, clerical, and operational support to the System Office for Compliance and the SUBR Office for Compliance.
- Serve as an initial point of contact by answering phones, responding to inquiries, directing communications, and greeting visitors.
- Manage calendars, schedule meetings, coordinate appointments, and assist with travel arrangements and logistics.
- Prepare, edit, proofread, and distribute correspondence, reports, presentations, memoranda, meeting agendas, and other official documents.
- Coordinate meetings and trainings, including scheduling, room reservations, preparation of materials, recording minutes, and follow-up communications.
- Maintain organized electronic and physical filing systems in accordance with applicable records retention requirements and confidentiality standards.
- Order office supplies, maintain inventory, and coordinate maintenance of office equipment and technology resources.
- Assist with special projects, compliance initiatives, audits, assessments, and departmental reporting activities.
- Track assignments, deadlines, and project deliverables to support departmental operations and compliance obligations.
- Assist with oversight and supervision of student workers, interns, or graduate assistants, as assigned.
Disability Services and Student Support:
- Assist the Disability Services Coordinator with the administration of testing accommodations for students with disabilities.
- Support the coordination of accommodation-related logistics, including scheduling exams and maintaining confidential student accommodation records.
- Interact with students, faculty, and staff in a professional and sensitive manner regarding disability-related matters.
- Maintain confidentiality of student educational and disability records in accordance with applicable federal and state laws and university policies, including FERPA and ADA requirements.
Case Management System Administration:
- Serve as a System administrator for Maxient or other designated case management systems utilized by the Southern University System.
- Manage user accounts, permissions, workflows, and system access.
- Maintain data integrity and assist with data quality assurance efforts.
- Generate reports and assist with data analysis to support compliance monitoring, reporting obligations, and operational effectiveness.
- Provide training and technical support to university personnel utilizing compliance-related software systems.
Other Duties:
- Perform additional duties and responsibilities as assigned by the System Director for Compliance or Associate Vice Chancellor for Compliance.
QUALIFICATIONS:
- GED/High School Diploma
