JOB DESCRIPTION:

The Program Operations Specialist plans, implements, and supports academic units in the College of Sciences and Engineering through a wide range of operational and administrative tasks. Key responsibilities include managing administrative processes, coordinating events and activities, maintaining program-related documents and records, and serving as a liaison between stakeholders such as faculty, students, and other university departments. The position also involves monitoring data, ensuring compliance with institutional and external regulations, and supporting continuous improvement in operational efficiency and program delivery.

JOB RESPONSIBILITIES:

  • Manage the day-to-day administrative operations of assigned academic programs, including scheduling meetings, preparing agendas and materials, managing correspondence, maintaining records, and ensuring efficient office operations.
  • Provide administrative and operational support to faculty and staff in the implementation of academic initiatives, student success programs, and departmental activities.
  • Assist with budget administration by tracking expenditures, processing procurement requests, reconciling expenses, and maintaining accurate financial records.
  • Coordinate purchasing activities and maintain documentation for expenditures, reimbursements, and other fiscal transactions in accordance with university policies.
  • Collect, analyze, and maintain program data related to enrollment, retention, budgeting, assessment, and other key performance indicators to support strategic planning and continuous improvement.
  • Prepare reports, presentations, and data summaries for program leadership to facilitate informed, data-driven decision-making.
  • Serve as the primary liaison between the academic program, college administration, university departments, external partners, and other stakeholders, ensuring effective communication and collaboration.
  • Maintain current and accurate program information across university websites, printed materials, and other communication platforms.
  • Develop, implement, and refine administrative procedures and operational workflows to improve efficiency, accuracy, and overall program effectiveness.
  • Ensure compliance with university policies, accreditation standards, state and federal regulations, and other applicable guidelines affecting academic program operations.
  • Support internal and external audits, accreditation reviews, program assessments, and compliance reporting by preparing documentation and coordinating required activities.
  • Plan, coordinate, and execute program events, including orientations, workshops, recruitment activities, advisory board meetings, conferences, and other special events in collaboration with the College.
  • Coordinate all event logistics, including venue reservations, catering, communications, registration, technology needs, and post-event evaluations to ensure successful program delivery.
  • Provide exceptional customer service by responding to inquiries from students, faculty, staff, and external constituents in a timely, professional, and courteous manner.

QUALIFICATIONS:

  • Bachelor's degree in Business Administration, Education, Communications, Public Administration, Higher Education Administration, or a closely related field from an accredited institution.
  • Minimum of three (3) years of progressively responsible administrative, program coordination, or office management experience.
  • Experience supporting academic programs, higher education administration, or student services in a college or university setting.
